The Right-Size and Optimize agents
How the Right-Size agent explains Right Sized quantities and the Optimize agent reviews licenses for Optimized, and how you confirm or change their decisions.
Two AI agents review the customer's licenses. They never change a price, and nothing is removed without a reason you can read.
Right-Size agent
On Right Sized, the agent writes a reason for each line. Quantities below are the standard calculation and do not change.

Optimize agent
On Optimized, the agent reads usage, license overlaps and administrator roles and decides, license by license, whether to keep, reduce or remove it. Quantities stay at Right Sized until it finishes.

Review its decisions
Filter the lines by decision: All, Needs a person, Reduce or remove or Keep. The Agent decision column shows each one; Show evidence opens What the agent saw, by group of users, with its sources.
While an agent works
Each agent shows where its run stands, small and inline: queued (Starts in a moment.), working (its step, what it's doing, the products reviewed and Working for ...), or Trying again when it retries. Once its attempts are spent it says why it couldn't finish, with Retry only where that can help. The page checks on it every few seconds and shows the agent's figures when it's done.
Open a line marked Needs a person and choose Show evidence.
Set how many to keep after checking with the customer: enter the number under Keep, and a Reason (for example customer confirmed the admin still needs it).
Choose Confirm (Update decision to change it, Clear to undo). Saved with your name and the time when Optimized saves. Any whole seat count is accepted, with an optional reason.
A line nobody has decided yet says so on its row (Decide or Change the seat count), and the scenario still saves and quotes. Read the agent's summary explains the run as a whole.
When Microsoft 365 data is stale
If the customer's license data is missing or out of date, the agents wait: User licence data from Microsoft 365 is out of date. Sync Microsoft 365 again. Use Refresh data on M365 data. Where the user data doesn't cover a license, that license's row icon gives the reason.
