Onyx Docs

Pricing

Upload a supplier's price list, answer the questions Onyx asks only when it can't decide, check three prices and activate the list, and switch back if you need to.

Settings › Pricing: Upload and manage monthly procurement price lists. Deal Hub prices every scenario and quote from your live price lists, so each supplier you buy from needs one.

Pricing has three tabs: Upload price list, Uploaded files and Procurement sources. FAQ in the header answers common questions about uploads, review, replacement and activation.

For organisation admins

Only organisation admins upload and activate price lists. Other members see You can inspect pricing history, but an organization administrator must configure sources and upload price lists. On an upload card they see An organization administrator answers these questions and activates price lists.

Before you start

Upload a price list

Under New price list: Pick the source and currency, then drop the file. Deal Hub reads it, and you activate it.

The Upload price list tab with source, currency and the file drop zone
Uploading a price list.

Choose the source

Pick who supplied this price list. Microsoft is Direct; a distributor is Indirect.

Choose the currency

The currency the prices are in. The month is read from the file.

Upload the file

Drop the CSV or Excel file on the box, or browse for it (Upload one price-book file at a time.). The accepted formats and size limits are shown under it. Choose Upload and read the file.

You don't choose a product family or a month. Onyx reads every upload for Microsoft 365 and Dynamics 365 together, sorts each product into its family, and reads the month from the file.

Follow the upload card

Once the file is sent, the Upload tab shows its card. It lists the steps in words, each done, in progress, waiting or stopped:

  1. Uploading: Sending the file to secure storage.
  2. Reading the file: Reading every worksheet and row.
  3. Matching products and prices: Matching each row to a Microsoft product, term and price.
  4. Ready to activate: Check three prices, then make the list live.

While a list is ready, the last step reads Waiting for you to activate, or Waiting for an administrator for members who can't activate.

A line under the steps says what is happening now, for example Queued. Reading starts as soon as a worker is free. This card updates by itself. You can leave this page and come back. It opens on the same step after a reload.

Questions on the card

The card asks you something only when Onyx can't decide. The badge reads Needs an answer.

QuestionWhenYou
Match the columnsOnyx doesn't recognise the file's columns, or suggested a match to checkMatch each value to a column and choose Save columns and read the file. Onyx remembers the layout for this source

Check and activate

When nothing is left to answer, the card shows one summary line, what the list replaces (or The first price list for this source.), any rows that can't price a licence and why, and Check three prices: three well-known products with their price, and how each changed against the list it replaces (was $400.00, +8%, no change or new in this list).

Choose Activate price list. If the list is older than the live one, tick the box that ends Activate it anyway. first.

The card then says This price list is live., how many opportunities are repricing on it, and Find it under Uploaded files.

Switch back

After activating, the card offers Switch back to the month it replaced. It asks Switch back to ...?: that list becomes the live list for this source again, and opportunities priced from today's list reprice on it. You can switch again at any time.

If an upload stops

The badge reads Stopped with the reason. Choose Upload the file again or Open Uploaded files, as the card offers. Your live price list keeps pricing deals.

Choose Upload another price list to start a new one.

If the card doesn't load

If you seeWhat to do
This upload could not be loadedChoose Try again. If it still doesn't load, choose Upload another price list to start a new upload; your live price list keeps pricing deals
Updates pausedThe card lost contact for a moment. Choose Refresh on the card
The upload form instead of the card you were followingThe upload was deleted, for example from Uploaded files or in another tab. The card closes by itself; find other uploads under Recent uploads

Replacing a price list

Upload the new file for the same source. Onyx reads its month: a later month replaces the current list, and the same month is a correction. A new file for the same source replaces the live list only when you activate it. Until then, your current list keeps pricing deals.

Recent uploads

Recent uploads beside the form lists the latest uploads with their state (Month to confirm when a month is needed). Choose one to open its card, or View all for Uploaded files.
